1. Core principle: your writing stays on your Mac

Echo Flow is designed so your dictated audio, transcripts, polished text, rewritten text, history entries, snippets, styles, and personal dictionary stay on your Mac. We do not upload that content for polishing, rewriting, training, or cloud transcription.

2. Polish and rewrite

Polish and rewrite — including capitalization, punctuation, grammar, tone refinement, action-item extraction, and plain-English rewriting, run locally after setup. No dictated or selected text is sent to Echo Flow servers for this.

3. Data stored on your device

Echo Flow may store some information locally in order to function: history entries, snippets, styles, settings, your personal dictionary, and diagnostics. How much of that is written is now your choice, not ours.

Ordinary privacy controls

In Privacy & History you can switch four things independently of each other: saving dictation history, spelling-correction memory, vocabulary learning from your dictations, and recent-text recall.

Turning history saving off asks whether to keep or delete your existing ordinary entries. Turning any of the four controls off stops new material being written. Turning a control back on does not restore access to material that was written while it was on.

Clinical Note retention is a separate control with its own retention window. Ordinary privacy settings never replace it.

Recent text in memory

Recent text is held in memory only, for a fixed 15-minute lifetime that does not extend when you read, edit, or copy it. Clear recent text discards it immediately, and it is also discarded at screen lock, sleep, and session boundaries. Clearing recent text does not erase history you saved, your system clipboard, or any copy a clipboard manager took.

Recording files

Recording files are deleted once recording and transcription are both finished with them, on every completion, cancel, error, and discard path. Ordinary history does not retain an audio path for any entry.

You can clear history from within the app. We recommend doing this regularly if you work with highly sensitive information.

4. Telemetry & logs

To keep Echo Flow stable, the app records limited diagnostic information, such as:

Performance and latency statistics are never transmitted automatically. They leave your device only if you explicitly export or share them yourself. We do not intentionally log your actual dictated content. Where logs might accidentally include fragments of text (for example, provider error messages), we work to minimise and periodically delete this data.

5. Network connections and email collection

Echo Flow is not a cloud transcription service, but some operational features do contact servers: the one-time Echo Flow AI setup download, app update checks, license activation and validation, purchase redirects, and optional email signup on the download page.

6. Your choices and controls

Privacy & History is where you control what ordinary dictation remembers: history saving, spelling corrections, vocabulary learning, and recent-text recall, each with its own switch. You can review and forget learned corrections, delete ordinary history, and choose an ordinary retention window. Clinical Note has its own retention control. The app has no usage telemetry.
